Mobile app privacy

This notice describes the Crewters mobile app. Features process the information described below only when they are available and you use them.

1. Who is responsible

CREWTERS LTD (company number 16534797) is responsible for Crewters account and service data. Our registered address is 167–169 Great Portland Street, London W1W 5PF, United Kingdom. Contact info@crewters.com about privacy, your information or this notice.

2. Information and purposes

We process account and sign-in details, profile and sports preferences, your cards, photos, posts, messages, event attendance and results to provide the features you use. Your audience and the people participating in a conversation or event can see information you share with them; public posts, profiles and recordings may be seen or copied by others.

Location permissions support nearby venues, maps and event check-in. Camera, microphone and photo permissions support uploads and streaming. Optional wearable connections can supply heart rate, steps and movement data for the sporting session and analytics you choose to share. Recordings and requested analysis can produce clips, player tracks and suggested match events; these are estimates and can be wrong. Do not treat inferred events as verified results without review.

We also process device, network, diagnostic, transaction and usage records to operate the service, enforce allowances, reconcile purchases and prevent abuse. We do not receive your full payment-card details from app-store purchases.

3. Why we process information

Account administration, requested messaging, events, content delivery and purchases support our contract with you. Service security, troubleshooting, fraud prevention and proportionate usage accounting support our legitimate interests in operating a safe and sustainable service. We process records required by applicable accounting and other legal obligations.

Optional marketing and advertising storage or access use consent where required. Optional health data requires your permission and explicit consent for the particular use; an operating-system permission alone does not authorise unrelated uses. You can withdraw consent without affecting processing already lawfully carried out. Refusing optional permissions can limit the feature that needs them, rather than your unrelated use of Crewters.

4. Providers and sharing

Providers support specific features: Auth0 and your chosen Apple or Google sign-in provider for authentication; AWS and MongoDB for hosting, storage and data services; Mux for video; Cloudflare/PartyServer for live coordination; Pusher Channels for Huddles messaging; Brevo for service and marketing email; and RevenueCat and the relevant app store for purchase and membership administration. Google AdMob and its consent platform support advertising when enabled. These services receive the information needed for their role, not every category of your account data.

Advertising providers selected in the consent message are disclosed there. Other users receive the content you share through Crewters. We may also disclose necessary information to professional advisers or authorities where legally required, or in a business transfer subject to applicable protections.

Providers may process information outside the UK. Applicable transfer arrangements depend on the provider and service; contact us for information about locations and safeguards applicable to your data.

5. Advertising and optional rewards

When advertising is enabled, Google Mobile Ads can receive IP addresses (which can indicate approximate location), device or app identifiers, ad interactions and diagnostic or performance information. Crewters currently requests non-personalised ads. This does not mean no data is processed: delivery, measurement, frequency controls and fraud prevention can still use information and require consent. Google explains its own processing in the link below.

Crewters does not send your health or wearable data, private message content or precise location as advertising targeting parameters. We do not add your sports profile or event content as targeting keywords.

If you choose a rewarded ad, we send an opaque account identifier and a one-time offer token to Google so its signed completion callback can be checked by our server. The callback includes ad, reward, transaction and timing details. These records prevent duplicate or fraudulent awards. Rewards are optional cosmetic bonus coins, not cash; watching an ad does not grant streaming, AI analysis or other billable service allowances. A device playback message alone cannot award coins. Huddles remains free and does not require a rewarded ad or advertising consent.

6. Your choices and rights

Open Ad privacy in the app menu to review or withdraw advertising choices where available. Crewters pauses new ad requests while you change these choices. An ad already displayed may remain visible until you close it. Device settings also control tracking and camera, microphone, location and health permissions. You can unsubscribe from marketing emails without losing essential account messages.

You can request access, correction, deletion, restriction or a portable copy of your data, and object to processing based on legitimate interests. These rights have legal limits, for example where records must be retained to meet legal obligations or resolve a dispute. Use the in-app account deletion option or contact info@crewters.com. We may need to verify your identity. You can complain to the UK Information Commissioner’s Office at ico.org.uk or your local supervisory authority.

7. Retention and security

Account and shared-content records are retained to support the active account, content and relationships they belong to, subject to deletion requests and applicable obligations. Recording and upload availability depends on the feature and its retention limits; moving older media into archive storage is not deletion. Purchase, reward, fraud and usage records may need to outlast the associated content to reconcile transactions, prevent repeat awards and resolve disputes. Backup copies and provider records can have separate retention periods. Contact us for the retention criteria applicable to a particular record.

We do not promise that every copy disappears immediately when you remove content, especially content already shared or copied by other users. We use access controls and other safeguards, but no system is completely secure.

8. Children and sensitive information

Crewters is not intended for children under 13. Contact info@crewters.com if you believe a child has supplied information contrary to this restriction. Do not publish other people’s sensitive information or recordings without appropriate permission. Additional age, permission and consent requirements can apply to health data, advertising and recordings.

9. Changes and questions

This notice has a fixed revision date above. We will update it when our processing changes and provide additional notice or request consent when required. Contact info@crewters.com for questions, an accessible explanation or to exercise your rights.

Website privacy

This notice explains how CREWTERS LTD uses personal data on crewters.com. It follows the Information Commissioner’s Office (ICO) guidance on what to put in a privacy notice and the UK GDPR right to be informed. It is our public notice, not a solicitor’s certificate of compliance.

It covers the website as it works today (waitlist, contact, venue interest, analytics cookies). For mobile app processing, including internal testing, see the mobile app privacy notice above. This website section describes website processing.

What data we collect

You give us:

Waitlist: name, email address, and an optional campaign tag (for example src or utm_source on the link you used)
Emails you send to info@crewters.com (support, press, partnerships, venue claim interest)
Venue admin sign-in: the account details you use with Auth0 if you log in to the venue admin area

Collected automatically:

Technical data your browser sends (IP address, browser and device type, pages viewed, approximate location from IP)
Cookie and similar-technology data described under Cookies
Waitlist campaign tags stored in your browser (sessionStorage) so we can attribute a signup if you open the form later in the same tab

We do not collect payment card data on this website. We do not run advertising cookies. We do not sell personal data.

How we collect it

You provide most of it directly: waitlist form, emails, or admin login.

We also collect it automatically when you use the site (server logs, and analytics only if you accept).

We do not buy marketing lists. If someone emails us about you (for example a venue introducing a contact), we will only use that to reply to that enquiry.

Why we use it, and the lawful basis

UK GDPR needs a lawful basis for each use. PECR also requires consent for non-essential cookies and for most email marketing.

You do not have to give us your name or email. If you do not, you cannot join the waitlist or get a reply.

We do not make solely automated decisions that have legal or similarly significant effects on you.

We use other companies to process data for us (processors). They only get what they need to do that job:

Brevo (Sendinblue) — waitlist contacts and launch emails
Vercel — website hosting
Google (Google Analytics / gtag) — site analytics, only if you accept
PostHog (EU cloud) — product analytics, only if you accept
Vercel Analytics — site analytics, only if you accept
Auth0 (Okta) — venue admin sign-in
Font Awesome — icon kit loaded on every page so the layout can show icons

We will also share data if the law requires it, or with professional advisers under confidentiality.

International transfers

Some processors are outside the UK:

Brevo and PostHog’s EU hosting are in the European Economic Area (the UK has an adequacy decision covering the EEA)
Google, Vercel, Auth0/Okta, and Font Awesome may process data in the United States and other countries

Where there is no adequacy decision, those vendors publish standard contractual clauses / the UK International Data Transfer Agreement as their transfer safeguard. Ask info@crewters.com if you want a copy of the safeguards we rely on.

How long we keep it

Waitlist: until we have told you about launch / early access, then for a short period so we can handle “where is my invite?” questions — or sooner if you ask us to delete you or unsubscribe
Enquiry emails: while we handle the enquiry, then a short period for a basic record of what was asked and answered
Analytics (if you accepted): according to each provider’s retention; we do not keep a separate Crewters copy of Google/PostHog/Vercel event streams
Cookie choice: in your browser until you change it or clear site data
Auth0 sessions: for the life of the login session

When we no longer need data, we delete it from our systems and ask processors to do the same.

How we store it

Waitlist contacts live in Brevo. The website is hosted on Vercel. Admin logins go through Auth0. We restrict access to people who need it to run Crewters.

Marketing

If you join the waitlist, we email you about Crewters launch and early iOS access. That is the email you asked for — not a bought list, and not ads for other companies.

You can stop those emails at any time: use the unsubscribe link in the email, or write to info@crewters.com.

Cookies

A cookie is a small file stored on your device. We also use similar tools (localStorage, sessionStorage, pixels/scripts).

PECR: we must tell you about cookies and get agreement before any that are not strictly necessary. Reject is as available as accept. You can change your mind via Cookie settings in the footer.

These keep the site working:

Language / locale for the page you asked for
Cookie-choice record (crewters-cookie-consent-v1 in localStorage) so we remember Accept or Reject
Auth0 session cookies if you use venue admin sign-in
Security and hosting cookies Vercel needs to deliver the page

Only if you choose Accept analytics:

Google Analytics 4 (G-FMYGW4X7P2) — pages viewed, approximate location, device/browser, so we can see which pages work
PostHog (EU) — how people move through the site, so we can fix broken journeys
Vercel Analytics — traffic counts on our host

Reject analytics leaves those cookies unset. PostHog and Vercel Analytics do not load until you accept.

Google tag and Consent Mode: the Google tag script is in the page so Google can see the tag is installed. Storage starts denied. If you reject (or do nothing), we do not set Google Analytics cookies. Google may still receive limited technical pings (for example IP address and page URL) without storing analytics cookies. If you accept, we update consent to granted and Google may set _ga / similar cookies.

Other third-party scripts

The Font Awesome kit loads on every page to draw icons. That is a third-party script. We have not put it behind the analytics banner. If you want that blocked, use a browser content blocker.

We do not use advertising or social-retargeting cookies.

How to change your choice

Your rights

You can ask us to:

Access the personal data we hold about you
Correct inaccurate data
Erase your data (including waitlist deletion)
Restrict how we use it
Port data you gave us (for example your waitlist email) in a reusable format
Withdraw consent where we rely on consent (waitlist emails; analytics cookies) — as easy as it was to give: unsubscribe, Cookie settings, or email us
Complain to the ICO (see below)

Your right to object

You have the right to object to processing based on legitimate interests (for example enquiry records or necessary site logs).

You also have the right to object to direct marketing at any time. If you object, we will stop those emails.

Children

Crewters is aimed at people who can create an account and play sport independently. We do not knowingly collect waitlist data from children under 13. If you believe we have, email us and we will delete it.

Other websites

Links to Instagram, TikTok, Apple, GitHub and similar go to those sites. Their privacy notices apply once you leave crewters.com.

The mobile app privacy notice above covers in-app location, check-ins, photos, sports profiles, advertising and other app features. This website section remains specific to crewters.com.

Changes

We will update this page when our processing changes. The date at the top is the latest version. If we make a material change (for example new processors or new app data), we will say so here and, where we can, email waitlist subscribers.
